References to "we", "our", or "us" are to Pacific Prime Consultants Limited, a limited company registered in England and Wales (No. 11028977), and operating under the trading styles of Pacific Prime and Pacific Prime UK.

Pacific Prime UK is a trading name of Pacific Prime Consultants Limited. We are authorised and regulated by the Financial Conduct Authority (FCA), registration number 785462. Our registered office is at 70 Gracechurch St, London EC3V 0HR.

Where do we collect personal information from? 

We collect personal information directly from you and from third parties. Where you give us another person's information, it is important to ensure that they have seen a copy of this Privacy Policy, and are comfortable with you providing us their information. 

We collect personal information from several mediums including:

  • Through your direct contact with us (phone, email, post, text message, website, in-person communication, application form, social media, apps, customer satisfaction survey)  

  • Group secretaries for group schemes

  • Other parties, for example:

    • A family member or other representative if you are incapacitated and/or unable to give us information relevant to your coverage

    • Your parent or guardian if you are under the age of 18 (parents/guardians will be involved in all communication and decisions made)

    • Companies who offer consumer classification for marketing purposes

    • Doctors, other healthcare professionals, clinics, hospitals, and other healthcare providers 

    • Sources available to the public (e.g. social media)

    • Fraud-detection and credit-reference agencies

    • Insurers who have not been able to assist you

We may also collect non-personal information, which is automatically collected and aggregated by website analytics providers (e.g. Google Analytics). This is done anonymously, so we won't be able to identify you personally. We may use the non-personal information collected by website analytics providers to learn more about how users interact with our website. 

What personal information do we collect about you?

We may collect the following information: 

  • Information that you provide us (e.g. when you fill out our contact form)

  • Information that we learn about you (e.g. website usage)

The information we collect depends on the insurance products and services you are interested in. The information collected reflects what the insurance companies we work with require to offer price quotes, fulfill applications, underwrite, and enable coverage. 

Please note that we may need to request, collect, and process sensitive information about you (your medical history, for example), where it is imperative for the delivery of an insurance product/service and without which the product/service cannot be provided. 

By providing personal information to us, you are consenting to Pacific Prime Consultants Limited converting such data into a digital form, so that we are better able to view, process, and utilise it. Here is a detailed breakdown of the types of personal information we may collect about you:

  • Identity (name, work/home address, date of birth)

  • Contact (email address, work and/or personal phone number)

  • Financial (credit/debit card details, bank account, income) 

  • Work (job title, company name) 

  • Demographics (age, nationality, location, gender)

  • Technical (IP address, operating system, browser type, device type)

  • Usage (pages visited, time spent on each page, exit page, searches carried out)

The above list also applies to businesses we sell to. For businesses, we may require additional data, such as employee information of all types, business registration and ownership information, business tax registration record, employee salary records, etc. 

Why do we collect personal information?

Outreach and marketing purposes (e.g. marketing emails)

Potentially we might use your contact information and name to send marketing communications (e.g. emails) where you have consented we may do so. You may also exercise your right to opt out of marketing communications at any time. 

Using data analytics to analyse and improve our website, services, marketing, and customer experience 

We have a legitimate business need to look at website analytics information to monitor and analyse how our website is being used. The information used will not identify any individual personally. 

Who is your information shared with?

In addition to the Pacific Prime's group of companies, we may need to pass personal information to third parties in order to provide you with price quotes, the products/services you have requested, assistance in our business administration, or the prevention/detection of fraud. These third parties may include:

  • Insurance providers, who we will need to provide your personal information to obtain quotes, process your application, and deal with any subsequent enquiries, negotiations, and renewals on your behalf

  • Underwriters/reinsurers, who provide your insurance cover

  • A named alternative contact that you have assigned to speak to use on your behalf 

  • A family member or other representative if you are incapacitated and/or unable to act for yourself

  • Suppliers and providers of products/services we make available to you

  • Regulatory bodies such as the FCA or ICO

How long do we keep your information for?

We will not keep your personal information for longer than it is necessary, unless it is required by law, or there are other legitimate reasons to hold on to your information for longer. 

We will normally keep information for no more than 6 years after the termination/cancellation of a contract, product, or service we provide. Where a contract is not entered into between us, we will keep information for no longer than 1 year. 

How do we protect your information?

No data transmission over the Internet or website is 100% guaranteed secure from intrusion. However, Pacific Prime Consultants Limited maintains appropriate physical, technological, and organisational safeguards that are in accordance with data protection legislation to protect your personal information against unauthorised loss, misuse, destruction, alteration, and access. For example, all your data is stored securely on our server and protected by a dual-firewall architecture. Only authorised members of our staff are able to access personal information. These employees are trained on our data protection procedures. 

Protecting your personal information outside the EEA

Your personal information may be accessed, stored in, and/or transferred to staff or insurance providers located outside of the European Economic Area (EEA). Where we transfer your information outside the EEA, we'll always take steps to ensure that your privacy rights are protected:

  • Data transfers within Pacific Prime's group of companies will be covered by an intra-group agreement which contractually requires each member to ensure that your information will be protected wherever it is transferred within the group

  • Where we transfer your information to third parties (e.g. insurance providers), we'll obtain contractual assurances from them to protect your personal information

  • Any requests we receive from regulators or law enforcement for your personal information will go through a comprehensive validation process before your information is disclosed

  • We will only transfer your personal information to countries that are internationally recognised for having adequate data protection policies in place, or where we are comfortable that alternative arrangements to protect your rights are in place

What are your rights?

Under data protection law you have the right to access all personal information we hold about you, and to ask us to rectify, restrict, and/or erase your information. 

You also have the right to withdraw your consent, object to us using your information, ask us to transfer the information you have given us and to not use automated decision-making which will affect you. 

You have the right to ask for a manual review of the accuracy of an automated decision if you are unsatisfied with it. 

Where we have no legitimate reason to continue keeping your personal information, you have the right to be forgotten. You can ask us to stop sending you marketing communications by contacting our Data Protection Officer.
